Batch Structure and ID System

Every bulk haul starts with a Batch ID. This is your reference code for the entire order lifecycle. Use a consistent naming convention: B-2026-05-A, B-2026-05-B, and so on. The year and month prevent confusion across long timeframes. The letter suffix lets you place multiple bulk orders in the same month.

Every item in the batch shares the same Batch ID in your sheet. This makes it trivial to filter, sort, and communicate with agents. Instead of sending a messy list of random links, you say: "Please process Batch B-2026-05-A." The agent knows exactly which items you mean because your sheet is organized.

Cost Splitting for Group Bulk Orders

Bulk orders get cheaper per item as volume rises. But someone has to organize the group, collect payments, and distribute items when they arrive. Your sheet becomes the financial and logistical backbone of the operation.

• Per-item base cost: The product price from the listing. Each group member pays their own base cost with no markup.
• Shared agent fee split: Divide the agent's service fee equally across all items in the batch. Record the per-item fee in a dedicated column.
• Shipping weight split: If you know individual item weights, split international shipping proportionally. If not, split equally. Either way, document the method in your sheet.
• Customs and insurance: These are usually batch-level costs. Split them equally unless one member ordered disproportionately expensive items.

Warehouse Management Logic

When twenty items arrive at the agent warehouse, chaos begins. Some items need QC. Some are pre-approved. Some are being returned. Some are waiting for the rest of the batch before shipping together.

Use a 'Warehouse Action' column with these options: Hold for QC, QC Approved, Return Requested, Waiting for Batch, Ready to Ship. Update this column the moment you receive agent updates. When every item has a clear action, nothing gets forgotten in the warehouse shuffle.

Create a 'Shipping Group' column for items that must ship together. For example, all hoodies in Group 1, all shoes in Group 2. This prevents splitting a logical collection across multiple parcels and reduces your total shipping cost.

Post-Arrival Distribution

When the haul arrives, the real work begins. You need to photograph every item, verify condition, sort by owner, and arrange local pickup or secondary shipping. Your sheet guides this entire process.

Add an 'Arrival Status' column: Unpacked, Photographed, Checked, Sorted, Delivered. Work through the list systematically instead of grabbing items randomly. This prevents the common mistake of delivering an item to the wrong person because two similar hoodies got confused.

Include a 'Member Confirmation' column where each group member initials that they received their items. This creates accountability and prevents disputes about missing or wrong products weeks after the handoff.
